Privacy statement

Who we are

Consigna is a till system and administration for shops, made by Koolmees.IT. Questions about privacy can be sent to ruud@koolmees.it.

Two roles

• For the data in this statement (requests via the website, contact and the details of shops that use Consigna), Koolmees.IT itself is responsible.
• For the data a shop puts into Consigna, such as that of consignors, customers, suppliers and staff, the shop is responsible. Koolmees.IT only processes it on behalf of the shop, under a data processing agreement. If you have a question about that, for example as a consignor, please ask the shop.

Which data, why and for how long

• Requesting a demo or contact via consigna.nl: name, name of the shop, email address, phone number, your message and the internet address (IP) the form was sent from (against abuse). Why: to contact you. Legal basis: your request and our legitimate interest. Kept: one year.
• Email with us: what you send us, to answer your question. Kept as long as needed for the question or the customer relationship.
• Shops that use Consigna: name and contact details of the contact person, address, Chamber of Commerce and VAT number and invoice details. Why: to perform the agreement and invoice. Legal basis: the agreement and the statutory retention obligation. Kept: as long as the agreement runs, and the accounts for 7 years (statutory retention period).
• Logging in to Consigna: at every login the internet address (IP) and the device, to detect abuse. Consigna does this on behalf of the shop; the shop sees it in the Log. Kept: one year.

Who else processes the data

• Hetzner Online GmbH (Germany): the server and backups of Consigna, in a data centre in Germany.
• Microsoft Ireland Operations Ltd (Ireland): sending and receiving email (Microsoft 365).
• Cloudflare: the website consigna.nl is hosted on Cloudflare Pages. Cloudflare is an American company; transfers outside the EU only take place with the safeguards the GDPR requires (such as the EU-US Data Privacy Framework).

Koolmees.IT does not sell data and does not use it for other parties' advertising.

Cookies

Consigna only uses cookies that are needed for it to work: to stay logged in (staff, the customer portal and the tablet in the shop). Your language choice is remembered. There are no cookies for statistics or advertising. The website consigna.nl does not use tracking cookies either.

Security

Everything is encrypted (HTTPS). Passwords are not stored themselves, only as a check value; logging in is possible with two-factor authentication. Each shop has its own, separate database. More can be found in the data processing agreement and the Security manual.

Your rights

You may ask to see, correct, delete or transfer your data, and you may object to its use. Email ruud@koolmees.it for this; you will receive an answer within a month. If it concerns data a shop has put into Consigna, Koolmees.IT forwards your request to that shop.

If you do not agree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

No decisions about you are made by a computer alone (automated decision-making).

If anything changes, we update this statement. At the top you can see when that last happened.
